Marketing Project Manager

Section 1: Position Summary

The project manager provides oversight and management of project workflow for the Marketing & Communications department and acts as the liaison between the Marketing & Communications team and business stakeholders to keep key projects moving and on track. Success will be dependent on the ability to diplomatically evaluate and manage project requests to ensure projects are appropriately prioritized, resourced, scheduled, and measured in support of corporate and departmental objectives.

Section 2: Job Functions, Essential Duties and Responsibilities

  • Responsible for protecting, securing, and proper handling of all confidential data held by Ascensus to ensure against unauthorized access, improper transmission, and/or unapproved disclosure of information that could result in harm to Ascensus or our clients.

  • Develops, understands, and maintains project roadmaps, hours estimates, and timelines
  • Evaluates and modifies project management process and tools to achieve better results
  • Acts as the project manager for large, strategic marketing initiatives
  • Assesses new marketing project requests by vetting the merit of each request, confirming organizational readiness, ensuring requests align with the corresponding marketing strategy/objectives, evaluating scope, and determining priority
  • Assigns resources based on team capacity and individual skills, communicating project expectations and ensuring needed information and assets are provided when handing off a new project
  • Expedites the inevitable rush jobs as appropriate
  • Utilizes project management software to develop, manage, and adjust work schedules to ensure work is timely, on budget, and meets quality control/brand standards
  • Tracks and escalates projects that are at risk of missing deadlines, working with impacted parties to set revised schedules or applying problem-solving techniques to ensure a project or process remains on schedule.
  • Reviews project performance and provides post-delivery follow-up, identifying project successes and opportunities for improvements
  • Leads quarterly planning sessions to ensure major business initiatives are identified and resourced well in advance
  • Oversees the management of the team’s digital file directory
  • Creates reports to track and manage a variety of performance and progress metrics, including weekly, monthly, quarterly, and ad hoc reporting
  • Helps the Marketing & Communications department function as a center of excellence.

Section 3:  Experience, Skills, Knowledge Requirements

  • Bachelor's Degree required
  • Ability to foster trusting relationships with clients and colleagues
  • Organized, logical, process-oriented, and strategic
  • Advanced investigative, analytical, and problem-solving skills
  • An appreciation of the creative process
  • Adept at team collaboration and keeping people happy and on track
  • Ability to quickly adapt to new methods and work under tight deadlines
  • Ability to set goals, multitask, and prioritize workload
  • Command of project management principles, processes, and software
  • MS Visio experience a plus
  • Experience working in a regulated industry or with B2B and private labels a plus
  • At least five years of workflow/project management experience
  • Strong oral and written communication skills with the ability to influence
