The Internal Event Planning Specialist will play a key role in delivering exceptional internal events for Ascensus. The ideal candidate will have superior organizational skills, thrive in an agile environment, and prioritize providing an exceptional experience for our associates. The Specialist will be responsible for managing virtual and in-person associate meetings and events, including company-wide and leader town hall meetings, executive retreats and meetings, associate engagement activities, and key client meetings. This role will lead all internal event-related communications and logistics (pre-event, event, and post-event), partnering with Associate Communications, Human Resources, and IT. The ideal candidate has internal event planning experience and is a quick learner who can operate effectively in a fast-paced, deadline-driven environment.

Section 2: Job Functions, Essential Duties and Responsibilities

  • Partner with Ascensus’ Associate Communications, Human Resources, and IT teams to execute on events and meetings that support associate engagement and connection, drive effective communications, and reflect the Ascensus brand and our Core Values of People Matter, Quality First and Integrity Always®;
  • Collaborate with various departments to effectively promote events to associates and other attendees;
  • Manage all aspects of utilizing virtual event platforms for meetings (Zoom, Teams, Slido) and partner with external production and technology resources to ensure a flawless technical experience;
  • Prepare pre-event communications for associates and run of show document for internal stakeholders;
  • Act as the direct point person for key stakeholders pre-event, event and post-event phases and provide full-service logistical support throughout the event;
  • For internal in-person events, manage venues, recommend and engage catering, and coordinate production of required marketing materials and signage as needed;
  • Maintain an annual event calendar and implement a system that anticipates long-term planning and effective event management for the organization’s internal meetings and events;
  • Apply your problem-solving skills and proactively prepare backup plans and solve potential and immediate issues relating to the successful execution of event programs;
  • Conduct post-event measurement, including attendee surveys to enable process improvement and capture associate feedback, as well as provide post-event attendance and engagement metrics;
  • Take a consultative approach and use effective communication skills to present event strategies and secure buy-in from key leaders;
  • Explore and recommend fresh and innovative ideas that will improve meeting effectiveness and a continuously enhance the experience for meeting attendees;
  • Create strong partnerships with key stakeholders and manage collaboration across internal team members and executives to ensure successful execution of all key internal events;

Section 3:  Experience, Skills, Knowledge Requirements

  • Experience planning various event types, including virtual meetings, C-level executive conferences; internal meetings and events; networking receptions; and associate appreciation initiatives.
  • Proven ability to take direction and translate organizational goals into effective, engaging internal events that deliver an impactful associate experience.
  • Ability to foster professional partnerships that result in consistent and courteous communication with colleagues.
  • Ability to manage deadlines and hold others accountable.
  • Excellent organizational, planning, and project management skills.
  • Independent and proactive thinker adept at setting goals, prioritizing, and making decisions.
  • Exceptional written and verbal communication skills.
  • Experience working with virtual event platforms including Zoom and Teams
  • Experience working with Microsoft 365 applications, including Word, Excel, PowerPoint, Teams, Forms, and SharePoint.
  • Experience ensuring brand consistency in all event materials and following brand standards.
  • Ability to work a flexible schedule with occasional evenings/or weekends with approximately 20% travel.
  • Bachelor’s degree in business, marketing, or a related field.
  • A minimum of 5 years of event management experience in a fast-paced corporate environment required.
  • Financial services industry experience preferred but not required.
