Section 1: Position Summary

The Events Manager provides end-to-end leadership of event conception, planning, budgeting, development of event assets, on-site execution, and billing reconciliation. Events will range from large-scale, externally hosted sales conferences and industry events to trade show execution, incentive events, associate events, and priority internal department meetings. Both in-person and virtual execution are in scope, and both may be required for a given event.  This position will oversee all aspects of event planning and development, all related event materials and on-site exhibits, as well as event registration, reservation, and participant communications. Effective partnership with key internal stakeholders and external vendors will be key, as will the ability to adapt and respond effectively to change.

The Events Manager will report to the Events Director overseeing the entire portfolio of events and ensuring each execution aligns with corporate goals, event standards, and process. The Events Manager will also partner closely with our Brand & Creative and Communications teams, line of business Marketing, and Technology associates to bring events to life and ensure they achieve engagement goals for our business partners and elevate our brand experience for attendees. 

Section 2: Job Functions, Essential Duties and Responsibilities

  • Partner with Ascensus’ brand & creative, marketing, sales, and business development teams to identify and execute on events that align with business objectives, demonstrate positive ROI, and provide attendees with an integrated, consistent experience across the Ascensus brand.
  • Manage internal and external resources required to conceive, plan, and execute high-quality, high-impact events
  • Regularly assess approach and event results to ensure all events are executed based on best practices, the most effective technology solutions, and current best-in-class event industry trends.
  • Source venues, recommend and engage all external support, and coordinate production of required marketing materials and signage to execute high-quality events.
  • Collaborate with various departments to effectively promote events to target audiences.
  • Prepare pre-event communications for attendees and run-of-show documents for internal stakeholders, while assisting in the development of internal planning materials in collaboration with brand & creative and marketing teams, under the guidance of the Event Director.
  • Function as the direct point person for key stakeholders and vendors during the planning, on-site, and post-event phases and provide full-service logistical support throughout the event.
  • Oversee inventory of giveaways in anticipation of upcoming events and conferences, as well as research and recommend new items that are cost-effective and tie back to the corporate brand.
  • Manage relationships with external vendors for event-related promotional items, including sourcing, budgeting, production timelines, and quality control of swag and giveaways.
  • Learn and support the planning, coordination, and execution of external tradeshows and conferences, including logistics, vendor management, booth setup, on-site engagement, and coordination with third-party vendors for booth design, logistics, shipping, and on-site execution.
  • Proactively prepare backup plans and solve potential and immediate issues relating to the successful execution of event programs.
  • Conduct post-event surveys and provide analysis, budget recaps, and participant feedback to inform future planning and continuous improvement.
  • Take a consultative approach and use effective communication skills to present event strategies, report status, and secure buy-in from key leaders.
  • Responsible for protecting, securing, and proper handling of all confidential data held by Ascensus to ensure against unauthorized access, improper transmission, and/or unapproved disclosure of information that could result in harm to Ascensus or our clients.

Section 3:  Experience, Skills, Knowledge Requirements

  • Bachelor’s Degree in hospitality, event management, or a related field.
  • A minimum of 5 years of event management experience in a fast-paced corporate environment required.
  • Financial services industry experience preferred.
  • Experience leading the planning and execution of various event types, including C-level executive conferences; sales and client meetings; networking receptions; associate appreciation initiatives; and industry tradeshows and conferences.
  • Proven ability to provide leadership, interpret direction, and translate organizational goals into effective, engaging events that deliver an impactful attendee experience.
  • Experience minimizing financial risk and maximizing ROI during the vendor sourcing and contract negotiation phases.
  • Ability to foster professional relationships that result in consistent and courteous communication with clients and colleagues.
  • Excellent organizational, planning, and project management skills.
  • Independent and proactive thinker adept at setting goals, prioritizing, and making decisions.
  • Exceptional written and verbal communication skills.
  • Experience working with virtual event platforms including Zoom and Teams.
  • Experience working with Microsoft Office Product Suite, including Word, Excel, and PowerPoint.
  • Experience working with and/or developing custom branded destination pages in leading event management platforms (such as Cvent) preferred.
  • Ability to work a flexible schedule with occasional evening/or weekends with approximately 40% travel.
