Section 1: Position Summary
Supports IT vendor management, software asset management, procurement coordination, and operational workflows. Role requires strong organizational skills, experience working with business, procurement and legal teams, and familiarity with IT vendors and VARs.
Section 2: Job Functions, Essential Duties and Responsibilities
1. Vendor & Procurement Management
- Support/co-ordinate end‑to‑end IT vendor lifecycle including onboarding, renewals, and offboarding for transactional and tactical volumes
- Coordinate with procurement, purchasing and legal teams for contract reviews, compliance requirements, and purchase order activities.
- Assist with RFx processes (RFI, RFQ, RFP) including requirement gathering, vendor communication, and evaluation.
- Maintain vendor documentation and ensure alignment with internal governance and audit needs.
2. Software Asset Management (SAM)
- Assist with software license tracking, renewals, and entitlement management.
- Coordinate with VARs for quotes, renewals, and license‑related clarifications.
- Maintain basic SAM tracking sheets and ensure documentation accuracy.
3. Procurement & Operational Workflow Support
- Manage operational procurement steps including requisition initiation, PO creation tracking, GRN coordination, and invoice follow‑ups.
- Assist supervisor to resolve PO, delivery, or invoicing discrepancies.
- Ensure timely submission of documents, vendor forms, and compliance artifacts.
4. Administrative & Documentation Support
- Schedule meetings, maintain documentation repositories, and follow up on action items.
- Maintain trackers for vendor performance, contract renewals, and procurement activities.
- Support document management using SharePoint or Box.
5. Tools & Technical Skills
- Strong Microsoft Excel skills (pivot tables, formulas, basic dashboards).
- Experience with SharePoint and Box for document management.
