Job Summary: Performs functions to manage the assigned Plan Administrators to assure the highest level of customer service and administration, working within the limits of established policy.

  • Works with team members and senior management to investigate and resolve client issues.   Helps with escalated calls as required.
  • Develops consistent department processes and procedures that ensure optimum productivity and ensure regulatory compliance issues are met for required activity. 
  • Contributes to the development, updating, and enhancement of materials and programs associated with the area of responsibility activity.
  • Assumes project management responsibilities for department initiatives to increase efficiencies and document changes in processes and procedures; participates in testing, training and rollout of initiatives.
  • Reports status of all projects to senior management; identifies problems to improve efficiencies relative to areas of responsibility. 
  • Supports all policies and procedures established by Management within the assigned team.
  • Acts as point of contact for an assigned caseload of complex plans.  Acts in a pro-active manner with assigned clients and builds relationships to ensure retention. Ensures other Plan Administrators within team are acting in the same manner.
  • Acts as Subject Matter Expert and assumes responsibility for maintaining and updating ancillary applications:  BOSS, WebAdmin, Case Tracking.
  • Works with internal support groups including SSG, Operations, Implementation, and Compliance to promote continued integration and act as SME for various projects.

Management Responsibilities

  • Counseling, coaching and mentoring of assigned Plan Administrators, as well as any other Plan Administrators that may require assistance.
  • Prepares and performs 1:1’s and quarterly check-ins for assigned staff; maintains harmonious employee / employer relations.
  • Contributes and makes recommendations in the hiring and staffing of the Non-Qualified Plan Administration department.
  • Manages the process of assigning cases and managing workload for Plan Administration team and attending handoff meetings to identify special service deliverables.
  • Oversees the scheduled client service team deliverables for timely completion and monitor control reports and follow up with team members as required.
  • Leads and engages employees in a positive and professional manner where inclusion and diversity of thought are leveraged for innovation and continuous improvement.
  • Works with employee to set and execute employee SMART goals/objectives.
  • Manages direct reports according to Newport policy
  • Maintains safe and healthy work environment by establishing, following and enforcing standards and procedures; complying with legal regulations

Required Education, Experience and Certificates, Licenses, Registrations

  • Bachelor’s degree or equivalent combination of education and experience
  • 3+ years’ of team lead experience or demonstrated ability to provide leadership in a team environment
  • 3+ years’ experience in a banking or financial institution environment

Preferred (but not required) education or skills for this role are

  • Knowledge of mutual funds and investments preferred.
