The Policy & Reporting Analyst for the Group Plans Center of Excellence supports the Practice Leader in driving operational excellence, compliance, and strategic growth for Multiple Employer Plans (MEPs) and Pooled Employer Plans (PEPs). This role is pivotal in ensuring the efficient administration of MEP and PEP plans, enhancing process scalability, and providing compliance guidance and training to internal teams. The ideal candidate will possess deep experience in client service, plan administration, and process optimization, with the ability to translate complex procedures into clear, actionable concepts.  This role is essential for supporting the Practice Leader in driving operational efficiency, compliance, and strategic growth within the Group Plans Center of Excellence.

Section 2: Job Functions, Essential Duties and Responsibilities

  • MEP and PEP Administration & Client Service:
    • Support the day-to-day administration of MEP and PEP plans, ensuring accuracy and efficiency in operations.
    • Serve as a key resource for internal teams, providing expert guidance on plan procedures, compliance requirements, and best practices.
    • Collaborate with cross-functional teams to resolve complex client issues, ensuring high levels of client satisfaction and operational excellence.
    • Assist in onboarding new clients and transitioning existing plans to scalable, streamlined administrative processes.
  • Process Optimization & Documentation:
    • Analyze current workflows and procedures to identify inefficiencies and areas for process improvement.
    • Develop and document standardized processes to enhance operational efficiency, scalability, and consistency across the organization.
    • Lead initiatives to optimize systems and tools, ensuring alignment with compliance requirements and business objectives.
    • Create clear, user-friendly documentation and training materials for internal teams to support consistent plan administration practices.
  • Compliance Guidance & Training:
    • Provide ongoing compliance guidance related to MEP and PEP plans, ensuring adherence to ERISA, IRS, and DOL regulations.
    • Develop and deliver training programs to enhance internal team knowledge of MEP and PEP compliance requirements and best practices.
    • Monitor regulatory changes impacting MEPs and PEPs, proactively updating procedures and training materials to reflect new requirements.
    • Conduct periodic compliance audits and reviews to identify and mitigate potential risks.
  • Collaboration & Communication:
    • Collaborate with the Practice Leader to develop strategic initiatives for the Group Plans Center of Excellence.
    • Effectively communicate complex procedures and regulatory requirements in a succinct and accessible manner to diverse audiences.
    • Work closely with product development, compliance, and client service teams to ensure cohesive and effective plan administration.
    • Assist in preparing presentations, reports, and other materials for leadership and stakeholder communication.
  • Responsible for protecting, securing, and proper handling of all confidential data held by Ascensus to ensure against unauthorized access, improper transmission, and/or unapproved disclosure of information that could result in harm to Ascensus or our clients.

Section 3:  Experience, Skills, Knowledge Requirements

  • Bachelor’s degree in Business, Finance, Human Resources, or a related field or equivalent experience.
  • Minimum of 5+ years of experience in client service and administration of MEPs and PEPs within the retirement plan industry.
  • In-depth knowledge of ERISA, IRS, and DOL regulations as they relate to MEP and PEP administration.
  • Proven experience in process optimization and documentation, with a track record of enhancing operational efficiency.
  • Excellent communication skills with the ability to translate complex regulatory and procedural information into clear, concise concepts.
  • Strong analytical and problem-solving abilities, with attention to detail and compliance focus.
  • Proficiency in retirement plan administration systems and tools.
  • Professional certifications such as QKA, QPA, CPC, or CRPS are a plus.
  • Compliance Expertise: Deep understanding of regulatory requirements related to MEP and PEP plans.
  • Process Optimization: Ability to evaluate existing processes and implement efficient, scalable solutions.
  • Communication: Skilled at simplifying complex concepts for diverse audiences and creating clear, concise documentation.
  • Collaboration: Works effectively within cross-functional teams and partners with stakeholders to achieve business objectives.
  • Adaptability: Thrives in a dynamic environment with the ability to adjust to regulatory changes and evolving business needs.
