Section 1: Position Summary

This position is primarily responsible for preparation of monthly statistics, assisting clients who visit the office and working with vendors including our internal facilities department. Other responsibilities include coordinating recurring meetings and recurring events like large annual print jobs.

Section 2: Job Functions, Essential Duties and Responsibilities

  • Ensure timely and accurate posting of the Executive Summary Report and Monthly statistics.
  • Provide support to the Vice President, Service and Operations, Product Owner, and Compliance Manager with operational and administrative tasks.
  • Consistently provide a high level of Customer Service while communicating and coordinating with internal/external business units to assist in issue resolution.
  • Ensure associates have appropriate access to their office and/or work areas.
  • Complete filing tasks and other organizational assignments as assigned.
  • Serve as a backup for other associates during scheduled and unscheduled absences.
  • Achieve service level goals.
  • Document procedures and workflows.
  • Compile and produce monthly, quarterly, and annual reporting and documents like the Executive Summary Report and quarterly Board Meeting packets.
  • Coordinate HR Activities and Office Functions for the site.
  • Maintain inventories of office, first aid and breakroom supplies. Place orders to replenish and maintain neat and tidy stock areas.
  • Perform conference and meeting room setups for various types of meetings and prepare vacant offices and cubicles for new associate occupancy.
  • Utilize office equipment including personal computers/docks, copiers/scanners, folding machine, and postage machine.
  • Coordinate large annual print jobs with print vendors.
  • Coordinate with other vendors like the cleaning services team. ​
  • Responsible for protecting, securing, and proper handling of all confidential data held by Ascensus to ensure against unauthorized access, improper transmission, and/or unapproved disclosure of information that could result in harm to Ascensus or our clients.

Section 3:  Experience, Skills, Knowledge Requirements

  • Bachelor's Degree or equivalent work experience
  • Strong analytical, problem solving and organizational skills
  • Strong written and verbal communication skills
  • Must be detail oriented and be able to work well within given timeframes and standards
  • Ability to multi-task with competing priorities
  • Proficiency in MSOffice software applications, specifically Excel and mail merges required
  • Must be able to react to change productively and handle other essential tasks as assigned.
  • Notary preferred or willingness to quickly obtain notary.
